These Terms and Conditions apply to programs operated by RobotiX Institute LLC. (Referred to as “RXI”) including but not limited to RXI. These terms apply to all courses, options, and programs offered by RXI. By agreeing to these Terms and Conditions and/or registering my student (Note: Student throughout these terms and conditions refers individually and collectively to each and every student registered in an account. For ease, the word student is used, but it shall not be construed to limit its application. You are agreeing that “student” refers to each and every student registered) for an RXI program, I assert that I have read all Terms and Conditions and agree to be bound by them.

1.      Code Of Conduct

1.1.  Students And Parents/Guardians May NEVER:

1.1.1.      Engage in or threaten violence;

1.1.2.      Bully, intimidate, or harass others;

1.1.3.      Damage facilities, dorm rooms, or equipment;

1.1.4.      Sexually harass others;

1.1.5.      Smoke, or use tobacco or vape products at RXI location; and

1.1.6.      Use, possess, or be under the influence of alcohol, marijuana, illegal or un-prescribed legal drug (If a student is caught using, possessing, or being under the influence of illegal drugs, student will be immediately dismissed and permanently banned from all RXI facilities and may be criminally prosecuted. If a student is suspected of possession of alcohol, marijuana, or any illegal or banned substances or drug paraphernalia, the student may be subject to search and seizure).

1.2.  Students Also May NEVER:

1.2.1.      View pornography or any inappropriate material (including sexual content, inappropriate violence, racism, bullying, etc.) on the internet

1.2.2.      Steal property of others (if a student is suspected of possession of property which is not their own, the student may be subject to search and seizure);

1.2.3.      Inappropriately use equipment

1.2.4.      Engage in internet hacking

1.2.5.      Use or possess weapons (If possession of weapons is suspected, student will be subject to search and seizure. If a student is found in possession of a weapon, student will be immediately dismissed and permanently banned from all RXI facilities, and where required, will be reported to local authorities)

1.2.6.      Bring pets or animals to any RXI location (service dogs may be permitted);

1.2.7.      Bring drones, hover boards, roller blades, or shoes with wheels

1.2.8.      Sign up on third-party websites without the permission of their instructor

1.2.9.      Use false information to sign up on third-party websites

1.2.10.  Leave camp without checking out with and obtaining permission from an instructor or other appropriate camp personnel; and

1.2.11.  Use personal electronic devices during instructional time – unless they are approved by the instructor (It is recommended that personal devices be locked in a safe place. Also, if student accesses the internet via a local Wi-Fi hotspot at the program location, it is the sole responsibility of the student and student’s parent/guardian to comply with all providers’ terms & conditions, and assume all financial risk. RXI does not facilitate internet access for non- RXI devices).

1.3.  Students And Parents/Guardians MUST:

1.3.1.      Abide by the rules and regulations of each location

1.3.2.      Respect facilities and property (should intentional damage to facilities or property be found to be inflicted by a student, the student and their parents will be responsible for fines and damages, and RXI will, where required, report to local authorities); and

1.3.3.      not hold RXI responsible for any lost, stolen, or damaged personal items

2.      Health And Safety

2.1.  Physical and recreational activities contain inherent risk of injuries.

2.2.  It is the parent’s responsibility to ensure their child’s health and safety during their participation in RobotiX Institute (RXI) programs. Its parent’s responsibility communicate any necessary accommodations or considerations to RXI to ensure my child’s safety and a positive program experience.

2.3.  I authorize RXI Staff to attend to any health issues or injuries my student may incur while participating in an RXI program. This includes providing basic first aid, administering authorized medications, and seeking emergency medical care for my student should they deem it necessary.

2.4.  Parent is financially responsible for any medical treatment needed for the student during the duration of the program. Its parent’s responsibility for providing the sole insurance coverage for any medical treatment the student receives, and agree to release any and all records necessary for the student to receive medical treatment.

2.5.  If the student needs to bring any medications to camp, parent should inform the camp director and fill out the necessary medication forms more than a week prior to the start date of the program and to bring the medication to camp the first day. Parent should bring all medications in original containers that identify in English the prescribing physician (if a prescribed medication), the name of the medication, the dosage, any side effects, and the frequency of administration. The information dosage and frequency of administration on the bottle must match the information provided on the medication form. Parent should agree that all medications, except inhalers and diabetic testing kits, will be given to and administered by RXI staff. If your student will be bringing an EpiPen, you will need to bring two nonexpired EpiPens the first day of their program. One will be held by staff. The other will be held by the student. Your student will be required to self-administer all injectable medications (except EpiPens when used during an emergency) under the observation of staff. At the end of your student’s program, you are responsible for retrieving all medications from RXI staff.

2.6.  I understand that RXI staff cannot give my student over-the-counter medication without written permission.

2.7.  RXI has the right to dispose of any medication left at camp after the camp session has ended, that and shall not be responsible for any damages or liabilities related in any way to such medication, including, but not limited to, replacement cost of the medication and any damages resulting from participant’s failure to administer such medication. NOTE: RXI cannot mail medications, as it is against Federal Law to send medication through any mail service.

2.8.  RXI suggests that students be current on all vaccinations according to the age-appropriate recommended immunization schedules published by the US Centers for Disease Control and Prevention (CDC), and that some locations require students to provide up-to-date vaccination information or acceptable waiver.

2.9.  The Emergency Contact will be the contact at the time of Registration. The Emergency contact must be at least 18 years of age and is ideally located within 4 hours travel by automobile of the location where the student is attending camp, during the time the student is attending camp. At a minimum, Emergency Contact must be available by phone while the student is attending camp.

3.      At-Camp Activities

3.1.  Photos: As a condition of participation, photos, videos, images, audio and testimonials may be taken of me and my student and that said content may be used by RXI in promotional materials, marketing collateral, and online media. These images, testimonials, photos, videos, and audio may be shared and used by corporate partners, the media, or other organizations who work with RXI . I understand that RXI , its owners, agents, partners, facility providers, and employees will not be held liable for damages and injuries associated with said publishing, including any and all claims based on negligence. I agree that all images, testimonials, photos, video, and audio taken at or in connection with RXI are the sole and exclusive property of RXI .

3.2.  Press Visits: As a condition of participation, RXI and the press to use my student’s full name in print, radio, TV, and other mediums. (Often when press arrives at camp, RXI may not have the opportunity to contact all families for permission before the press arrives. Therefore, we have created a blanket policy. We thank you for understanding.)

3.3.  Movies: I understand that movies played at or attended by any of the programs run by RXI are rated PG and PG-13 and selected at the sole discretion of RXI

3.4.  Inappropriate Web Content: I understand that RXI makes every reasonable effort to prevent participants from being exposed to inappropriate web content. As a safeguard, RXI will attempt to either install an internet filtering software on RXI computers, or use an outside filtering vendor. I agree that no method is 100% perfect, and that my student may inadvertently access some inappropriate content even though RXI takes reasonable precautions to guard against inappropriate material being viewed. I understand that if inappropriate content is viewed, RXI staff will follow standard protocol and agree that if my student is found in violation of the Code of Conduct set out above, my student may be removed from a program without receiving a refund.

4.      Sign Out

4.1.  Self-Sign-Out Policy for students 13 years of age or older: if the student is 13 years or older by December 31st of the year in which they are registered for a course, then he/she can sign himself/herself out with staff between 5 and 5:30 PM Monday through Thursday, unless attending an overnight program, and between 3 and 4 PM on Friday, unless attending a weekend program. Once my student signs themselves out, they will no longer be in the care of RXI. If my student needs to be checked out at times other than those listed herein, then I must contact the Camp Director to make arrangements.

4.2.  Self-Sign-Out Policy for students under 13 years of age: if the student does not turn 13 by December 31st of the year in which they are registered for a course, he/she must be signed out of their RXI program by an authorized pick-up person. Only those knowing the code word-or those named as additional authorized pick-up persons (and who show a valid picture ID, Driver License, or passport)-will be able to pick up my student.

5.      Course Cancellation

5.1.  If RXI is forced to close a course based on a recommendation by the local Health Services Department (in the case of a communicable disease outbreak, etc.) or due to other acts of nature, no refund will be issued, but reasonable accommodations will be made to provide a similar service.

5.2.  RXI has the right to cancel a course. If a course is cancelled, customer may enroll the student in another course or get a full refund

6.      Release of Liability Agreement

6.1.  On behalf of my son/daughter/ward, the parent/guardian, in exchange for the right of my son/daughter/ward to participate in RXI program(s), I/we release RobotiX Institute LLC., its owners, agents, partners, facility providers, and employees from liability (including claims based upon negligence) for any and all damages or injuries to my son/daughter/ward or damage of any personal property. I agree to be fully responsible for any and all such damages or injuries which may result directly or indirectly from any negligent acts or activities associated with rxi . However, i understand that i am not releasing rxi llc ., its owners, agents, partners, facility providers, and employees from gross negligence, reckless conduct, or intentionally tortious conduct. To the extent this release conflicts with state/provincial law governing releases, this release is to be given the fullest force and effect permitted under state/provincial law. Should any part of this contract be found invalid or not enforceable by a court of law, then the remaining portion shall continue to be valid and in force.

7.      Indemnification Agreement

7.1.  I agree to defend, indemnify, and hold RXI , its officers, directors, employees, and agents, harmless from and against any claims, liabilities, damages, losses, and expenses, including, without limitation, reasonable attorneys’ fees and costs, arising out of or in any way connected with my student’s participation in an RXI program.

8.      Arbitration Agreement

8.1.  I agree that any dispute arising out of or relating to this Agreement, my student’s participation at RXI, or otherwise arising between the parties, including, without limitation, any students statutorily created or protected rights, as permitted by applicable state/provincial or federal laws, may be settled by arbitration in the state/province and county in which the camp is held, in accordance with the Commercial Rules of the American Arbitration Association, and judgment upon the award rendered by the arbitrator(s) may be entered in any court of competent jurisdiction. The prevailing party in the arbitration shall be entitled to recover expenses including costs and reasonable attorney’s fees associated therewith. Should any part of this contract be found invalid or not enforceable by a court of law, then the remaining portion shall continue to be valid and in force. I hereby acknowledge that I understand the terms of this ARBITRATION AGREEMENT, and agree to comply with all of its terms and provisions

9.      Payment Policy

9.1.  US Dollars: I agree that all financial transactions are made and quoted in US Dollars.

9.2.  Non-Refundable Fees: To cover the administrative costs associated with registering my student, I agree that for each RXI program/course in which my student is registered, the total payment amount is nonrefundable and non-transferable.

9.3.  Returned Check/Dishonored Transaction Fees: A $25 returned check fee will be assessed for any checks returned or card transactions that are not honored.

10.  Changes, Cancellations, and Refunds (Camps)

10.1.                    Full Refund Period (Camps): You can cancel the camp registration for a full refund (Less Credit Card Processing Fees) at least 28 days prior to the session start date.

10.2.                    Changes: You can make changes to your registration without penalty if requested at least 7 days  before the session start date of the camp.

10.2.1.  Changes can include:

10.2.1.1.        Switching the session location or date (if available) OR

10.2.1.2.        Choosing a different course or format (e.g., weekend options)

10.3.                    Refunds are not provided for early withdrawals or dismissals due to:

10.3.1.  Absences (including sickness or travel issues)

10.3.2.  Behavioral dismissals

10.3.3.  Weather disruptions, power outages, or other unforeseen events outside our control

10.3.4.  Tuition is not prorated, and partial refunds are not issued if a student leaves early.

11.  Changes, Cancellations, and Refunds (Weekly Programs)

11.1.                    Refund: You can cancel the weekly program subscription any time you want.

11.2.                    Changes: You can make changes to your registration without penalty by emailing or calling us.

12.  Rights Reserved

12.1.                    RXI . Reserves the right to update or modify these Terms & Conditions at any time. RXI is not a university-sponsored event. Activities, guest speakers, and tech tours will change session to session and may not apply to all locations. We reserve the right to cancel a course if participation numbers are not adequate. In the case where a suitable RXI replacement week is not found, a full refund will be issued. On rare occasions, the software and hardware we use at our programs may change without notice, and we will strive to find suitable software and hardware alternatives.

13.  Privacy Policy

13.1.                    At RobotiX Institute (RXI), we respect your privacy and are committed to protecting your personal information. This Privacy Policy explains how we collect, use, and safeguard your data when you interact with our website, services, or programs.

13.2.                    Information We Collect: we may collect the following types of information:

13.2.1.  Personal Information: Name, email address, phone number, mailing address, and payment information when you register for programs, make purchases, or contact us.

13.2.2.  Student Information: Name, age, and relevant health or educational details necessary for program participation.

13.3.1.  Program Enrollment: To process registrations, manage schedules, and ensure a smooth experience.

13.4.2.  Legal Requirements: If required by law or to protect our rights, safety, or property.

13.5.1.  We take appropriate technical and organizational measures to safeguard your information against unauthorized access, disclosure, or misuse. These measures include encryption, secure payment gateways, and restricted data access.
